Admissions, Recruiting and Funding
The Office of Graduate Admissions, Recruiting and Funding guides prospective students through the application and admissions processes. They provide opportunities and events to learn more about the university and graduate degree programs offered at UCF. They also oversee the administration of graduate fellowships, graduate assistantship hiring, and details related to the health insurance and tuition remission associated with the graduate funding opportunities

This office oversees the administration of graduate fellowships, graduate assistantship hiring, and details related to the health insurance and tuition remission associated with graduate funding opportunities.

Student Services
This office’s primary responsibility is to monitor a student’s progress from admittance through graduation. UCF College of Graduate Studies may dismiss any student if performance standards or academic progress as specified by the program, college, or university are not maintained. Satisfactory performance also involves maintaining the standards of academic progress and professional integrity expected in a particular discipline or program.
Academic Progress
Standards that all graduate students must meet to graduate.
Academic Standing: Probation and Dismissal
If a student’s program GPA drops below 3.0 in any given semester, the student is placed on Probation. Student did not meet the terms of probation by raising their Program GPA to 3.0 or better upon completing 18 graduate credits of graded A-F coursework or the remaining graded courses of their degree program (if fewer than 18).
Probation Plans
Students who are placed on probation by the College of Graduate Studies are required to meet with their graduate program director to create a Probation Plan. Students are removed from probation once they earn a Program GPA of 3.0 or higher.
Dismissal from program – Student did not meet the terms of probation by raising their Program GPA to 3.0 or better upon completing 18 graduate credits of graded A-F coursework or the remaining graded courses of their degree program (if fewer than 18).
Completion Plans (7-Year Rule)
A completion plan is required of all graduate students who have not yet finished their degree after 5 years of graduate study. The purpose of this plan is to assist students with monitoring their timeline to degree completion, as UCF graduate policy requires degrees to be completed in 7 years or less (up to 21 semesters).

An annual review of a doctoral student’s performance administered by the graduate program director.
Graduate Policy Petitions
Graduate students who wish to request an exception to university policy must complete this form to begin the process.
Program GPA
Program GPA is calculated based on all of the graduate courses that a student completes at UCF once admitted into each degree or certificate program.
Does not include transfer coursework from other institutions, coursework completed for other UCF graduate programs, undergraduate or non-degree coursework.
The Program GPA is used to monitor the student’s progress in the program. UCF requires that all students maintain a 3.0 (or higher) Program GPA to maintain regular graduate student status, receive financial assistance, and qualify for graduation. This GPA requirement cannot be waived.
Forgiveness is not afforded to graduate students. All enrollment attempts that result in a final grade are calculated as part of the Program GPA.
Students who are readmitted to a degree program they were previously dismissed from, will continue with the same Program GPA that they held at the time they were dismissed. They are placed on provisional status and must earn a 3.0 Program GPA within the first 9 hours/credits of enrollment.

Grade Changes
Graduate students may request grade changes if the degree has not been conferred.
Discontinue Program Requests
Students who wish to terminate study in a graduate program should request a program discontinuation form from the College of Graduate Studies for their respective college.
Medical Withdrawal
Medical withdrawals may be necessary for students who are unable to complete the semester due to a serious medical condition (physical or psychological).
When pursuing a medical withdrawal you will need to work with your medical provider(s) to complete the required forms regarding your medical condition. A medical withdrawal is usually for all classes taken in the term. The medical condition should have arisen during the given semester from which withdrawal is sought. If you were aware of the medical condition before the beginning of the semester, you must provide medical documentation demonstrating that there was a change in the condition during the semester that resulted in your inability to meet course requirements.
Hold Removals
A student’s record may be placed on hold because of financial, academic, immunization forms or other obligations to the university. A hold can prevent the release of the student’s registration, grades, or transcripts until the student clears the obligation and the office that placed the hold removes the hold.
9 Hour Holds
This form must be completed by non-degree seeking students to release hold on the completion of nine hours of courses.

Special Leave of Absence
Students requesting a Special Leave of Absence must complete this form by the end of the add/drop period of the third semester of non-enrollment.

Appeals of Golden Rule 5.016 and 5.017
Students seeking to appeal a final course grade (5.016) or program decisions, dismissal from a program (5.017) are handled by this office.
Candidacy Requirements
Steps toward your doctoral degree following coursework and before working on the dissertation.
Requirements for Filing
Students must ensure the following has been completed before being nominated for candidacy:
- Approved Doctoral Advisory Committee: Students should complete the Doctoral and Thesis Advisory Committee Form, which will be routed electronically for required approvals. Chrome or Firefox browsers are advised.
- Doctoral Advisory Committee members have approved Graduate Faculty or Graduate Faculty Scholars: If a committee form includes a faculty member who has not been approved as a Graduate Faculty/Graduate Faculty Scholar, CGS will hold the Doctoral and Thesis Advisory Committee form and advise the Graduate Program Director to submit a nomination, as deemed appropriate.
- Doctoral Candidacy Exams: Candidacy exams must be completed, graded, and passed. Doctoral students must be registered for at least one credit the term that the candidacy exam is passed.
- Completion of the Academic Integrity (Responsible Conduct of Research/RCR) workshops as required by your program. The Academic Integrity Training Requirement for Doctoral Students section of the Academic Integrity Training website provides additional information. A link to a list of exempt programs is also provided.
- Graduate Program GPA: A 3.0 or higher Graduate Program GPA.
- Coursework: No more than 6 credits of outstanding A-F coursework to complete.

Graduation
ASPG oversees transfer credit verification, degree audit updates, degree certification, the doctoral hooding ceremony, and issuing diplomas.
Degree Certification
Degree certification refers to the official approval that the student has met all degree requirements.
Degree Conferral Letter Requests
In advance of final transcripts being available, if you have a pending employment opportunity and need an official letter showing that you met all degree requirements, you can request this letter by emailing the address below and including a copy of your offer letter.
Diploma Issuing
Diplomas are not issued at the ceremony. They will be mailed approximately 6 to 8 weeks after the commencement ceremony to the address indicated on the student’s Intent to Graduate form. Students who have changed their address should log into myUCF and go to Student Self Service > Personal Information in order to update your contact information.
Degree Audit (GPS)
An advising tool for students and advisors to track progress toward the degree or certificate completion.
Incomplete Grades
A grade of “I” (incomplete) may be assigned at the discretion of the instructor.
Graduate Plan of Study (GPS)
The Graduate Plan of Study policy (degree audit) is an advising tool for students and advisors to track progress toward the degree or certificate completion.
Intent to Graduate
Students who intend to graduate must complete the online Intent to Graduate Form by logging into myUCF and navigating to the Student Self Service – Other Academics > Intent to Graduate: Apply. Please review the UCF Academic Calendar to find the specific Graduation Application deadlines for your term..
Traveling Scholars
The Traveling Scholars program enables graduate students to take advantage of resources available at other institutions (e.g., special course offering, research opportunities, unique laboratories, and library collections).
Change of Name
Complete and return this form to the Registrar’s Office to change your name in your student record at UCF.
Change of Address
Log into myUCF and go to Student Self Service > Personal Information in order to update your contact information.

Academic Integrity
All students admitted to doctoral programs must complete training designed to instill an awareness and understanding of the fundamental issues of academic integrity and the responsible conduct of research (RCR) in a manner consistent with federal regulations.
CITI Training
The Collaborative Institutional Training Initiative (CITI) Program delivers online research ethics education training to members of the research community. CITI courses include the Responsible Conduct of Research (RCR) training required for all doctoral students as well as many other offerings.

Pressures to Plagiarize Course
The Pressures to Plagiarize course educates new graduate students on UCF’s policies regarding plagiarism. The course must be completed the first semester of graduate study at UCF. Students who do not complete this course will have a registration Hold placed on their myUCF account.
